Job description and responsibilities:

You report directly to the Congress Supervisor (being the Conference & Operations Manager or the Company General Manager).
You are responsible for planning, developing and delivering medical, governmental, association and commercial congresses, from 100 to 10 000 participants, It is an A to Z process, before, during and after the congresses.
In this operational position, you will be responsible for the administration and delivery of services of the highest standard, including but not limited to the following.
Congress marketing, promotion and communication

  • Website and web-based electronic solutions
  • Communication strategies
  • Design, logos
  • Printing matters and announcements
  • Databases, mailings & e-mailings

Exhibition

  • Research
  • Coordination
  • Preparation
  • Management
  • Contracts & payments
  • Organization & logistics

Operations and logistics
Research, negotiation, selection, confirmation, coordination, quality control and management of :

  • Venues
  • Hotels
  • Suppliers & contractors
  • Staffs
  • Travel & transportation
  • Guides …

Program, content

  • Program creation and management
  • Speakers liaison
  • Social events

Delegate registration process supervision and hotel management

Finances and budgeting

  • Financial strategy
  • Budget
  • Cost control, managing accounts & payments
  • Invoicing
  • Taxation & VAT
  • Final account statements

In addition to the above tasks, you will demonstrate your ability in managing teams consisting of project coordinators, assistants, trainees, suppliers (hostesses, technicians), as well as ensuring high level client relationships.

Profile, requirements:

Qualifications and experience required

  • You have at least 5 years experience in a similar role of project management in the Business Tourism industry including the above responsibilities (specializing in Incentive business or Congress & Conference business)
  • You combine motivational and leadership skills with proven abilities in Event and/or Congress management
  • Your excellent negotiation skills and your flexibility enable you to meet deadlines, make decisions, prioritise tasks and communication with your different suppliers, partners and clients even when under pressure
  • Fluent in English & French (a third language would be an asset), you ensure that the company’s reputation and best interests are maintained
